As a conference and event photographer in Edinburgh, I am often asked how I plan for conference photography

in Scotland and my answer is that I complete a comprehensive plan for each photoshoot which tends to be very similar no matter whether it is for wedding photography, award ceremonies, or any other event photography.  We will use a typical conference photographers plan for a conference in Scotland as an example below:

The Photo Plan for an Edinburgh conference photographer

1. Take a clear note of the venue, location, rooms etc.

2. You should include the contact person for the photoshoot, together with back-up contacts, with phone numbers, email addresses etc.

3. The timings and names of all the people involved.  In the case of conference photographer for example this will be the speakers and when they start, along with any presentations or awards.

4. Any special type of photographs required ie all delegates, workshops etc.  This could also include formal group photos or awards.  Make sure you get the names of all this involved, it is far more professional to approach people if you know their name.

5. A note of anyone who doesn't want their photo taken and make sure you are aware of who this is.

6. Anything they don't want you to photograph ie specific workshop, or if they don't want you to use flash.

7. Go over the plan carefully with your main contact and ask them exactly what they require from you.

8. How and when the final photos will be delivered ie by link, USB or DVD.
